How to make efficiency gains with workflows
Here at Bedrock Solutions, we define a workflow as a map for getting routine work done in the fastest, most efficient way possible. Our four steps to making efficiency gains with workflows are given below.
Step 1. Determine the workflow for a routine task by drawing a flowchart or simply writing down each step required.
Step 2. Look for repetition, redundancy, and duplication.
Step 3. Brainstorm ways to cut out the repetition, redundancy, and duplication. With the administration aspects of the routine task, this can occur through centralising the information, integrating processes, and replacing paper forms with our SmartForms.
Step 4. Implement the improved process!
Let us now go through a real-life example where the adoption of a SmartForm has saved hours of administration and travel every single week.
Company X carries out work activities at multiple sites in a large city in New Zealand and are required to complete daily pre-start checks at each site prior to starting work. Paper forms are completed and filed in a folder in each work vehicle. On a designated day each week, the regional supervisor drives around all the sites, collects the forms, goes back to the office, scans the forms, and emails these to the principal contractor.

A SmartForm is completed by each site supervisor using a smartphone (or) tablet and immediately submitted to the principal contractor and the regional supervisor.
